Accounting Clerk

Job Description
General: The Accounting Clerk coordinates accounts receivable and accounts payable, produces necessary reports, and maintains financial records for Friendship Ark Homes. This is a part-time position involving 10-15 hours weekly at the Friendship Ark Homes office.

Pay Grade: 31

Reports To: Directly supervised by the Executive Director.

Supervises: None

Status: Non-Exempt

Responsibilities:

Coordinate accounts receivable

  • Obtain census information from House Coordinators and bill IME monthly for HCBS services.
  • Record payments and send invoices to core members to document payment for rent, food, and, if appropriate, any other payments to Friendship Ark Homes (e.g., long distance calls, med co-pays, personal care items, etc.)
  • Monitor representative payee accounts, pay their personal bills, and advise regarding activity and balances.

Coordinate accounts payable

  • Process and file all bills.
  • Write checks to vendors for services/products received, obtain Executive Director’s approval and signature, and ready for mailing in a timely manner.
  • Create direct deposit payroll, track paid time off (PTO), and assist with other check distribution as needed.
  • Process and file staff expense reimbursements and petty cash receipts.
  • Maintain online bank accounts of Friendship Ark Homes and representative payees.

Produce monthly income/expense reports for Friendship Ark Homes’ board of directors.

Produce or work with consultant to produce bi-weekly tax checks and appropriate quarterly paperwork for Federal IRS and Iowa IRS/SUTA requirements.

Maintain a filing system for access and retrieval of financial records.

Maintain an Accounting Manual that includes processes and procedures used at Friendship Ark Homes.

Assist Executive Director in developing annual budget.

Maintain updated employee cost report.

Offer advice to Executive Director re accounts, banking needs, investments and cash flow.

Create monthly report to Executive Director re recent accounting activities.

Related Duties: Perform general responsibilities required of all Friendship Ark Homes employees.

Other duties as assigned.

Qualifications:

Education & Experience: Minimum two years education in bookkeeping/accounting.

Mental Demands:

  • Ability to work under stressful conditions with frequent interruptions.
  • Ability to make decisions using good judgment in crisis situations.
  • Ability to work independently with minimum supervision.
  • Ability to interpret and apply relevant policies and procedures.

Specific Skills or Knowledge:

  • Knowledge of bookkeeping and principles of accounting.
  • Knowledge of Medicaid requirements for financial reporting desirable.
  • Skills with computers and knowledge of accounting and database programs.
