Accounting Clerk

Job Description
General: The Accounting Clerk coordinates accounts receivable and accounts payable, produces necessary reports, and maintains financial records for Friendship Ark Homes. This is a part-time position involving 10-15 hours weekly at the Friendship Ark Homes office.

Pay Grade: 31

Reports To: Directly supervised by the Executive Director.

Supervises: None

Status: Non-Exempt

Responsibilities:

Coordinates accounts receivable.

  • Obtains census information from House Coordinators and bills IME monthly for HCBS services.
  • Records payments and sends invoices to core members to document payment for rent and, if appropriate, any other payments to Friendship Ark Homes (e.g., long distance calls, med co-pays, personal care items, etc.).

Coordinates accounts payable.

  • Processes and files all bills.
  • Writes checks to vendors for services/products received, obtains Director's approval and signature, and readies for mailing in a timely manner.
  • Creates direct deposit payroll, tracks paid time off (PTO), and assists with other check distribution as needed.
  • Processes and files staff expense reimbursements and petty cash receipts.

Codes all income and expenditures for Medicaid compliance and records in computer software.

Produces monthly income/expense reports for Friendship Ark Homes' Board of Directors.

Produces or works with consultant to produce monthly and quarterly tax checks and appropriate paperwork for IRS/Iowa and SUTA requirements.

Maintains a filing system for access and retrieval of financial records.

Maintains an Accounting Manual that includes processes and procedures used at Friendship Ark Homes.

Related Duties: Performs general responsibilities required of all Friendship Ark Homes employees.

  • Conduct: Conforms to Friendship Ark Homes' policies on employee conduct and appearance.
  • Communication: Communicates with staff, core members, families and the public in a tactful, courteous and confidential manner.

Qualifications:

Education & Experience: Minimum two years education in bookkeeping/accounting preferred.

Mental Demands:
Ability to work under stressful conditions with frequent interruptions.

Ability to make decisions using good judgment in crisis situations.
Ability to work independently with minimum supervision.
Ability to interpret and apply relevant policies and procedures.

Specific Skills or Knowledge:
Knowledge of bookkeeping and principles of accounting.
Knowledge of Medicaid requirements for financial reporting desirable.
Skills with computers and knowledge of accounting and database programs.
